Declutter Your Schedule: Essential Time Management Tips

As a real estate professional, your days are full of activity. Between showings, negotiations, paperwork, marketing, and building your business, you’re likely feeling overwhelmed much of the time. You know you need to manage your time better, but who has the luxury to manage their time? Effective time management is not just a luxury but a necessity in our fast-paced industry. By implementing strategic approaches to manage your time, you can declutter your schedule, increase productivity, and ultimately achieve your ambitious goals.

Prioritize your tasks more effectively

The ability to prioritize tasks is the foundation of effective time management. By focusing on the most important and urgent tasks, you can ensure that your time is spent productively. It’s not enough to create a to-do list. You have to prioritize it as well. Look over your list and pinpoint tasks that are:

  • Urgent and important: These are your top tasks that are important to your business and help you achieve your goals. These are the tasks that have to get done today.
  • Important, but not as urgent: Although these tasks may be important, you can do them later or tomorrow. 
  • Tasks that can be done whenever: These tasks can be delegated or eliminated entirely.

Reviewing your tasks and prioritizing them by importance will allow you to focus on the things that drive your business. By prioritizing your tasks in this way, you can allocate your time accordingly and avoid getting sidetracked by less critical activities.

Minimize your distractions

Distractions can be a major productivity killer for real estate agents. Whether it’s constant phone calls, email notifications, or social media, interruptions can disrupt your workflow and make it difficult to focus. To minimize distractions, do the following:

Set dedicated work hours

Establish specific times for work and stick to them. This will help you create a sense of structure and avoid feeling overwhelmed. You’ll have a set starting and ending time each day. Now, in real estate you don’t always have the luxury of adhering to set hours. On those days you’ll have to adjust your hours; however, most days you can stick to a general schedule which will help you make sure you get it all done.

Manage your notifications

Turn off unnecessary notifications on your phone and computer to reduce interruptions. Sure, you have to use the internet for work, but that’s where the word necessary comes in. If you’re working on social media, don’t check your email or look at news or celebrity entertainment sites. If you’re checking your online leads, don’t scroll social media. Turn off notifications when you’re not in that app OR set aside an hour or so a day that is tech distraction free. You’ll focus on the task at hand and get it done. 

If you find yourself getting distracted by certain websites no matter the time of day, consider using website blockers to limit your access during work hours. 

Create a focused work environment

Find a quiet space where you can work uninterrupted and eliminate any unnecessary clutter. This is especially true when you’re working in a public place or at home during your kids’ school vacation. Carve out a corner to work in and remind everyone that you’re working and shouldn’t be interrupted for the next hour (or whatever the block of time). This is where it helps to time block your day and set aside an hour or two for distraction-free work. You don’t have to set aside the full day, but instead, an hour or two should be sufficient.

Batch similar tasks together

Batching similar tasks together can improve your efficiency. Instead of switching between different tasks throughout the day, group similar activities together. For example, you could complete all your administrative tasks in a single block of time. Batching tasks reduces context switching and helps you maintain a better flow of work. You don’t have to waste time figuring out where you were at or get in the right headspace. You’re already in it. Once these tasks are done, you can move through your list.

Just say NO

Saying no is hard, especially if you want to grow your business. But it’s an essential skill for time management. If you want to succeed, you have to set boundaries and learn to decline requests that don’t align with your priorities. Of course, there’s that voice in your head that wants you to overcommit because it could lead to more business. But overcommitting yourself can lead to stress, burnout, and decrease your productivity. When faced with a request, take some time to consider whether it’s truly necessary, if it aligns with your business and goals, and if it fits into your schedule. If it doesn’t, politely decline and offer alternative solutions if you can, 

Delegate

Delegation is another powerful time management strategy. Many real estate agents feel they have to do it all. However, there are tasks you can delegate to others, like an assistant.  By entrusting certain tasks to others, you can open up your time to focus on more high-level activities that benefit your business. Consider delegating administrative tasks, such as scheduling appointments or preparing paperwork, to a virtual assistant or team member. When delegating tasks, be clear about your expectations and provide adequate training and support. After all, it’s not helpful if it ends up creating more work for you in the long run. Building a strong team can help you achieve more in less time.
